The monthly IT report: what a useful one contains

A report nobody reads is a cost. A report that changes a decision is a service. The difference is what is on the page.

The essentials

  • Tickets opened and closed, grouped by priority, with the trend against previous months.
  • Target performance: how many met the agreed response and resolution times, and why the others did not.
  • Recurring faults: the same cause appearing again, with a plan to remove it.
  • Patch and update status: what is current, what is pending, what is blocked.
  • Backup status: last successful backups and the date of the last test restore.
  • Security events: blocked threats, failed logins, anything that needed action.
  • Renewals: licences, certificates, domains and warranties expiring in the next ninety days.
  • Recommendations: two or three actions, with reasons, for the next month.

What to avoid

Long lists of numbers without commentary, charts that do not connect to the SLA, and reports delivered without a conversation.

Turn it into a meeting

A short monthly review, fifteen to thirty minutes, is where the report becomes value: approving a replacement, adjusting a priority, planning a downtime window.
