A new meeting room that people avoid is expensive furniture. These are the common causes.
Sound, not video, decides the meeting
People forgive a mediocre picture. They do not forgive being unable to hear. Echo, room noise and distant microphones ruin calls. Use proper microphones placed for the seating, with echo cancellation, and treat the room acoustically where needed.
Cameras that see the room
A single wide camera at the back of a long table shows tiny faces. Choose lens angle and position for the layout, and consider auto-framing or multiple cameras for larger rooms.
Too many remotes
If starting a meeting needs a manual, people give up. One-touch join from the room panel or calendar is the target.
Wrong room size, wrong kit
A video bar fits a small room; a boardroom needs ceiling or table microphones and a separate codec. Match the system to the room, not the budget line.
Lighting and glare
Windows behind participants turn faces dark. Control daylight and avoid lights that cast shadows.
Network and power
Calls need stable bandwidth and low delay. Plan wired connections, PoE and cable routes.
Support and monitoring
Rooms fail quietly. Remote monitoring and a simple way to report problems keep them working. Standardise equipment so users meet the same controls in every room.
