IP PBX, cloud telephony or SIP trunks: modernising office phones

KINNEX Team5 min read

Phone systems are quietly changing from copper lines to the network.

On-site IP PBX

A server or appliance in your premises, running calls over your network. Control and integration with local systems, such as intercoms and door phones, are strong. You maintain it.

Cloud telephony

The service lives with a provider. No equipment to look after, quick to add users and sites, and features such as call recording and mobile apps are standard. Monthly costs are ongoing, and quality depends on internet links.

SIP trunking

Replaces physical phone lines with a connection to the carrier over the internet or a private link. It can serve an on-site PBX and often lowers line costs.

What to check

  • Internet capacity and failover. Voice needs steady quality.
  • Quality-of-service settings on switches and routers.
  • Number portability and the cut-over plan.
  • Emergency calling arrangements for each site.
  • Integration with intercom, door entry, call centre and CRM.
  • Call recording and retention needs.
  • Power backup for phones and network equipment.

Choosing

Small offices and multi-site firms often do well with cloud telephony. Sites with specialised integration or poor internet may prefer an on-site PBX with trunks.

Moving safely

Pilot with a small group, port numbers in a planned window, and keep the old lines until the new system proves stable.
